PRIVACY POLICY

This Privacy Policy describes how your personal information is collected, used, and shared when you use Lyyti services operated by Tamlink Ltd. When using the Lyyti services, the registration or submission is done under the privacy policy of the register’s Controller (not Lyyti Oy).

PERSONAL INFORMATION WE COLLECT

The types of personal data we collect and process

Events: name, contact information, organization, event participation details, payment and/or invoicing details, feedback collection, marketing details for similar events, special/individual needs (incl. dietary information), presentation and/or marketing materials from speakers and partners

Materials: marketing materials, presentation materials, various scientific materials, personal information such as biographies

Contact information: name, organization, email address, and in some cases phone number

Students: name, contact information, information related to studies, pictures

Course participation: name, contact information, course selections and other course participation details, tracking of course attendance and progression

Open questions: in some cases, we offer the option to leave us information that the filler of the form decides to share in the open fields

HOW DO WE USE YOUR PERSONAL INFORMATION?

We use the personal information to manage customer and partner relationships and to organize events and meetings, courses, and other activities that require registration. We may use your personal information to personalize messages and invitations directed to you.

Personal data is being processed in order to implement the contract signed between the File Controller and the Registered Person and, where applicable and subject to the prior consent of the Registered Person, also in connection to and to facilitate measures relating to customership management such as orders, registration, contacts, service use, marketing, and reporting.

Purchase and service use data and location data processed as part of the register can also be used for profiling and for targeting marketing and customer communications based on the interests of the Registered Person. Personal data will also be processed in connection to the sending of newsletters and to participation in events and other marketing measures.
If the data subject does not provide the requested information that is related to registration for the event, the Controller cannot accept the registration of the data subject nor commit to the agreement between the data controller and the data subject regarding participation in the event or other activities.
SHARING YOUR PERSONAL INFORMATION

Information contained in the register can be distributed within the organization and between the interest groups of the event, activity, or service in question (e.g., collaboration partners, service providers) and in some cases partners of the Controller. Information will not be transferred outside the EU or EEA.

We may share your personal information with our third parties for event, course, or activity management purposes. In events and other group activities, your name, and organization details may be shared with other participants publicly and may be used in name badges. The right to share your contact information (e-mail address, phone number) with third parties is always requested separately.

We may also share your personal information to comply with applicable laws and regulations, to respond to a subpoena, search warrant or other lawful request for information we receive, or to otherwise protect our rights.
YOUR RIGHTS

If you are a European resident, you have the right to access the personal information we hold about you and to ask that your personal information be corrected, updated, or deleted. If you would like to exercise this right, please contact us through the contact information below.

Additionally, if you are a European resident we note that we are processing your information in order to fulfill contracts we might have with you or otherwise to pursue our legitimate business interests listed above.

The right of the Registered Persons include:
- The right to request from the File Controller access to his or her personal data and the right to request that any error in the said data be corrected or removed or its processing be restricted, and to oppose to the processing or transferring of the said data from one system to another;

- The right to view and, where required, to correct the personal data stored in the register; all requests must be submitted to the File Controller in writing. The Registered Persons have the right to require that any incorrect personal data saved in the register be corrected.
​
- To the extent that the processing of the personal data is based on the consent of the Registered Person, the Registered Person has the right to cancel this consent at any time without this cancellation having any effect on the legality of processing completed before the said cancellation.
​
- The right to submit claims to the supervisory authority on the processing of personal data.
RETENTION PERIOD OF PERSONAL DATA

When collecting data from partners and customers, data will be retained for as long as is necessary to maintain collaboration or services with the partner or customer. The data stored in the records will be actively reviewed, and unnecessary data will be deleted from the records. Data will also be deleted upon a data subject's request as long as the erasure does not prevent the data controller to fulfill its legal obligations.
Event-specific data will be deleted after the data is no longer needed to organize and manage the event. After an event has ended, participants’ contact information may be used to send notifications of similar events and to collect feedback. Afterwards the data may be anonymised, if necessary, and stored to be used for statistical purposes. 
CHANGES

We may update this privacy policy from time to time in order to reflect, for example, changes to our practices or for other operational, legal or regulatory reasons.
